You are almost at the end of the countdown. Maybe a month left until your big day…possibly two. And it is time for your final walk-thru at your venue. But what exactly are you supposed to do at a walk-thru?
The walk-thru is usually your last opportunity to make changes to your wedding day plans. You’ll decide where the tables should be, where to put the cake table or bar, and any other staging elements. You might do a final menu selection or plan your drinks for the evening.
Your venue coordinator should be a part of this, as well as your Day of Coordinator. Especially your DoC. This is the best way for your DoC to truly understand your vision of your wedding day…by actually walking around your venue and discussing every last detail you have in mind.
So be prepared. It is okay if you don’t have all the answers when you walk in the door, but you should be prepared to make decisions while there. Not sure where to put the cake table? Ask for your DoC’s input – that is why we are there. And be prepared to take any advice given – your DoC wants your day to be even more flawless than you do.
Bring a camera to take lots of pictures – a video camera is also helpful. If you have any pictures of how you want things to look – your inspiration – then brings those along with you so you can show your DoC what you are talking about in the context of your venue.
Make sure you have a handle on all the elements included in your venue. Are tables and linens included? How do you turn on (or off) the lights, fans? How do you control the thermostat? Are trash cans – and liners – provided or do you need to bring those? And if anything above and beyond your original contract is agreed to, get it in writing as soon as possible. An email when you get home detailing all of the changes will work well – as long as your venue coordinator acknowledges receipt. A great way to make sure that happens is to include a question that they must respond to…when you have their response, print a copy of the email in its entirety and keep it in your records. And of course, make sure your DoC is included in any communications.
